For all staff a pay code access group must be recorded for all new appointments, eg, new starter, new additional appointment, promotion, regrade etc.
For employees:
A pay group access group must be recorded for all employee records to enable the individual to request annual leave and for work group managers/ HR to be able to record absence. The pay code access group which is selected will determine what types of leave and absence can be requested/ recorded on the staff record.
For casuals:
A pay group access group must be recorded for casual records including examiners. The pay code access group which is selected must describe the individual's role, eg demonstrating, along with whether their role is under General Ledger or Project.
The casual worker will be able to submit timesheet claims for:
- Hours worked against the relevant pay code
- Holiday hours against the related holiday code¹
Their managers will be able to record time against these same codes on the employee’s behalf.
¹ For example, if the Casual Labourer - General Ledger group is assigned, the worker will be able to record time against the Casual Labourer - General Ledger pay code and the Holiday pay – General Ledger pay code.
