Document templates (letters, forms and contracts) - create or amend departmental letterheads

1. Create or amend departmental letterheads

System document templates include macros, to automate certain tasks, including insertion of your departmental letterhead (and footer, where applicable). This section explains how to set up your letterhead document correctly in order for this process to work. 

  1. Open the letterhead document. 
  2. Click into the header, ensuring you have selected the entire contents (Ctrl + A).

  1. Go to the Insert tab and choose Bookmark

  1. Enter “header1” under Bookmark name: and click Add.  
  2. Repeat steps 2 and 3 for the footer, even if your footer is blank. Enter “foot3” under Bookmark name: and click Add.

It is essential that the bookmark names are entered exactly as shown in bold between the “” in order for the macros to recognise them.

 
  1. Click Save and close the letterhead document.

Save the new letterhead to the CoreApps folder on your C drive and name it letter_head. Where this doesn’t exist, simply create a new folder in you C drive called CoreApps.

It is essential the CoreApps folder is located on your C drive.

Generate a document from the system to check that it works and that everything is displaying correctly. Some display issues related to formatting/placement of images may be corrected by adding your header text/images into a table within the header and, if applicable, the footer. 

The example below shows how to add a table to fix display issues:

  1. Go to Insert > Table. Select the number of rows/columns needed.
  2. Copy and paste the relevant contents into the cells rows/columns accordingly:

  1. Adjust the width of the columns to fit the contents and remove the line borders. 

  1. The Letterhead should now display as below:

Managing multiple departmental letterheads

If you have responsibility for multiple departments and are required to generate correspondence using multiple letterheads, see guidance below:

  • PeopleXD is configured to pull the letterhead from a document titled “Letter_head”, which must be saved in the “C:\Coreapps” folder. For the process to work correctly, only one document with that exact title (“Letter_head”,) can exist at any given time.
  • It is possible to save multiple letterhead templates in the same folder, each named to reflect the relevant department.
  • When generating a correspondence, the required departmental template must be manually renamed to “Letter_head” before use.
