Manage Continuous Service

Continuous Service is defined as the period of continuous employment on a CMS contract of employment, with the University of Oxford.

Continuous Service data in PeopleXD may not be accurate for some employees, whose records were migrated from the University’s previous HR system (Opendoor), in 2011. There may be other exceptional circumstances when continuous service dates may need to be corrected. This guide provides instructions on how to correct such cases. 

Note: Where there is any dispute, decisions on the calculation of continuous employment will be made by the department’s HR Business Partner. For guidance on Continuous Service see the HR Support webpages.

 

Navigation: People Management > Employees > View > Employee Search > Locate individual > View

  1. In the individual’s record, click on the CONTINUOUS SERVICE button, at the bottom right of the screen.
  2. The Details screen will open containing the following information:
  • Original Date Joined - when the employee originally started employment
  • Latest Start Date – employee’s latest start date, if rehired
  • Continuous Service Duration - total continuous service accumulated in eligible appointments since Latest Start Date.
  • Continuous Service Start Date
  • Continuous Service End Date
  • TUPE Date – for central use only
  • Override Start Date
  • Override End Date - not in use
  • Appointment Summary – shows continuous service dates for all eligible appointments (non-eligible appointments will not appear in the summary box). This includes the continuous service duration at the point in time for each ended appointment. See the guidance on the HR Support webpages.
  1. In the Override Start Date field enter the date that needs to replace the current Continuous Service Start Date.

  1. Click SAVE, this will overwrite the date in the Continuous Service Start Date field.
  2. Where an override date has been added, a matching UDF record must be created. See Add and manage User Defined Fields guide, for system steps on completing the UDF.

Navigation: People Management > Employees > View > Employee Search > Locate individual > View 

  1. In the individual’s record, click on the CONTINUOUS SERVICE button, at the bottom right of the screen.
  2. Delete the text from the Override Start Date field.
  3. Click SAVE, this will change the date in Continuous Service Start Date back to the latest start date.
  4. If you remove the Override date it is important that you also add an end date to the Continuous Service Override Reason UDF. Please refer to the Add and manage User Defined Fields guide.
