System updates

Software as a Service

We use a Software as a Service (SaaS) model for managing our HR system. This enables us to receive automatic and regular system updates as part of a continuous cycle of system improvements.

The key benefits of the SaaS approach include:

  1. Frequent system updates 
  2. Operating on the latest software 
  3. Access to the latest system developments
  4. Managing system updates as part of 'business as usual' activity - no more upgrade projects!

Minor system updates are automatically applied to the live system on a fortnightly basis (out of hours). These include:

  1. Fixes to known issues (eg generating document templates). Visit the System Issues page for a list of recent fixes
  2. Minor system enhancements (eg addition of the address search field)– these are shared in the HR Systems Bulletin and communicated to users by email where relevant

A red system message is displayed in the Portal to give notice of minor updates. Visit the System availability and login page for more information about regular downtime and at-risk windows.

Feature packs are regularly released by the supplier. These enable the introduction of new system features and/or enhancements. Some features are applied automatically according to the schedule set by the supplier, whereas others are optional and will require analysis and prioritisation by the University.

Prompt and efficient analysis in an agile manner is essential to handling any changes introduced by the Feature Packs. Product Ownership Groups (POGs) have been established to support this process and foster early engagement with system users.

Product Ownership Groups (POGs) were formed to support the agile SaaS approach to managing system updates. POGs are groups of key stakeholders and decision makers, from across central services and divisions/departments. The groups are aligned with product lines, ie ‘modules’ of the University's HR system, and their corresponding processes.

POGs represent the user community and support us with prioritisation and decision-making. POGs also help to champion the delivery of any such changes. Find out more about POGs.
