HR teams must create a ‘shortlisting assignment’ to control when and for how long panellists can access applicant information.
Navigation: Recruitment Dashboard > Vacancies > Search for the vacancy > Edit Vacancy > Interview Panel > Shortlist Assignment
- Click Add Shortlist
- Add a title (e.g. ‘Shortlisting’)
- When you later add an applicant to the shortlist assignment, the system will automatically assign the applicant status you select in this Applicant Status field to their applicant record, eg Sent to shortlisting panel. This will make it clear which applicants have already been made visible to the panel, as any new applicant (not added to the shortlisting assignment) will have an applicant status of ‘Applied’
- Update the Start Date and End Date fields to control when the panel members will have access to the applicants assigned to the shortlist assignment.
- Once you have selected the dates an additional option appears: The applicant statuses you move from the “Available Applicant Status” list to the “Selected Applicant Status” list will control which applicants the panel members will see via HR Self-Service for this vacancy. For example, if you only want your panel members to be able to view applicants who only have an Applicant Status of ‘Sent to shortlisting panel’, ‘Shortlisted’, ‘Invited to interview’, then these three applicant statuses would need to moved into the “Selected Applicant Status” list.
Select the required status(es) from the “Selected Applicant Status” and click the ‘>’ icon.
- If there are scenarios where you would like the panel to retain access where the individual(s) progresses beyond the applicant status recorded (in step 5) above and depending on local processes, you can use this functionality to add additional statuses into the “Selected Applicant Status” box.
