1. Start dates

Appointments should be created without undue delay, and once the start date is agreed. Typically, up to three weeks in advance is sufficient and in line with payroll deadlines and relevant HR processes. 

Careful consideration must be followed when entering new appointment start dates for new and existing staff.  This is to ensure there is no negative impact is recorded for the individual's salary and their continuous service dates.

For any employees working on an externally funded fixed-term contract, departments must record the actual start date stated in the contract, as dictated by the grantor.

Tracy to check:  The only exception to this, is if they start midway through their working week.  See full-time staff or part-time staff guidance below.

Employees who are transferring from one department to another, where a weekend falls in between the two appointments (ie they are expected to start work on the Monday), should be transferred with effect from the Sunday.

This ensures that the salary cost for the weekend period is shared between the two departments, while maintaining continuity of service. Please refer to the Policy webpages for guidance on Continuous Service.

Where a full-time employee is going to work their full working week, e.g. Monday-Friday, their start date should be their first working day – i.e. the Monday. 

If they are starting part-way through the week, their start date should be their actual first working day. 

 

 

Where a part-time employee is going to work their normal full working week, their start date should be the Monday at the start of the week.

If they are starting part-way through their normal week (e.g. they are contracted to work Wednesday to Friday and they begin work on the Thursday), their start date should be their actual first working day.

The appointment start date for any type of casual worker must be no later than the earliest date of any casual work completed.
