New Staff Request Approval Process
From 29 July 2025, only staff requests that require grading will be routed to the Reward/ Senior Appointments teams. To ensure your request is routed correctly, refer to specific guidance relating to the Position Type field.
For all Staff Requests once they are fully actioned, the Staff Request Approver(s) will receive email notification of the vacancy, which is automatically linked to a newly created planned appointment.
A staff request in PeopleXD is used to create a new post or appointment in the system. This is applicable when:

a vacancy needs to be filled, either for a leaver or a brand-new role;

you want to request a regrade; or
-
an employee's change in contractual terms require them to be moved to a new appointment on the system, eg change in contract type.
Use the Staff Request and Contract Decision tool to determine the correct steps to take. Refer to the People Profiles Matrix for guidance on employment statuses.
The post created from staff request information should reflect the budgeted parameters, eg FTE, contract duration etc. Later, when the individual is appointed, there may be changes, such as lower FTE, an underfill, or a different contract type due to visa restrictions. Departments can adjust these details accordingly, following the provided guidance. Please note that some changes, such as the organisational hierarchy and ‘Pay Administered By’, are restricted.
