How-to: Create and approve staff requests

1. Overview

A staff request is used in PeopleXD in order to create a new post/appointment in the system. This could be where:  

  • a vacancy needs to be filled, either for a leaver or a brand new role;  

  • you would like to request a regrade; or 

  • an employee's change(s) in contractual terms mean that they need to be moved into a new appointment on the system, eg change in contract type. 

The Staff Request and Contract Decision tool will help you to determine the correct steps to take. Refer also to the People Profiles Matrix for guidance on employment statuses.  

 

The post created from staff request information, should represent what has been budgeted, eg FTE, contract duration etc.  Later, when the individual is appointed there may be some changes, such as lower FTE, an underfill or a different contract type due to visa restrictions. Departments can adjust such details accordingly, following the guidance available.  Please note that some changes are restricted, such as the organisational hierarchy and ‘Pay Administered By’.

Additional information

To find authorised Staff Requests, search by the ‘Complete’ status. However, you will be unable to identify whether the request is Complete or Authorised in the system. The approvers for the department will receive a confirmation email once it has been authorised by the Reward team, containing the vacancy ID and post details. 

Field name Description
Planned Staff Request has been created and saved. 
Submitted  Staff Request has been submitted by the Staff Request creator and is awaiting departmental / divisional approval. 
On-hold  Staff Request has been placed on hold by the Reward team. 
Approved  Staff Request has been approved by department / division and is awaiting action from the Reward team. 
Complete  Staff Request is being processed by the Reward team and is going through final checks. 
Rejected  Staff Request has been rejected by the department / division or by the Reward team.
