Prepare a vacancy for advertising - Approve for publication (inc checklist)

The vacancy approver should review the vacancy details using the checklist below, and when no further changes to the data are required, the vacancy is ready to be authorised. 

Avoid making amendments after the vacancy has been authorised. Always use the checklist to review the advert fully before authorisation. If changes are required, remember to update all sources of advertising.

 
  1. Reviewed the guidance on Attracting Candidates web page, and the content of your job advertisement is engaging and inclusive.  
  2. Tested all the hyperlinks in your advertisement, including links uploaded to the Documents section
  3. Reviewed all the mandatory fields in Vacancy Details 1: 
    1. A default application form selected.
    2. The Opening/ Closing dates set are within the Recruitment sub-section.
    3. Internal/ External opening date and time are set.
    4. Internal/ External closing date and time are set.
  4. Reviewed all the mandatory fields in Vacancy Details 2: 
    1. Selected the correct Vacancy Type. 
    2. Listed the Grade and Salary information in the correct format. 
    3. Listed Contact information, including a designated person to help with applicant queries, and their email address and phone number. 
  5. Reviewed the relevant fields in Vacancy Profile:
    1. Job advert text has been formatted properly with headings where appropriate, and has been reviewed for spelling and grammatical errors. 
    2. A job description is available in Documents.
    3. The Application Form and Job Specification options are activated. 
  6. If your job is External and above a grade 4, the guidance notes for sending adverts to jobs.ac.uk have been reviewed.

Navigation path: Recruitment > Vacancies > Search for your vacancy > Actions > Edit Vacancy

  1. Navigate to Vacancy Details – 2
  2. Click on Actions in the top-lefthand corner of the screen, and select Authorisation Details.
  3. In the Authorisation Details screen, click the calendar icon and select TODAY’s date for the authorisation date.
  4. Click SAVE.

NB: The vacancy will now be live on the University website and/or Internal Job Board provided that the Opening Date/Time has been reached.

Once the vacancy has been authorised, your final step is to update the vacancy status.

  1. Navigate to Vacancy Details – 1.
  2. Amend the Status field from ‘Draft’ to ‘Advertised’
  3. Click SAVE

NB: Grade 4 or above vacancies must be sent to jobs.ac.uk, but only once it is live on the Oxford University Jobs website. Please read: sending adverts to jobs.ac.uk
