Prepare a vacancy for advertising - Vacancy details

2. Vacancy details

Navigation path: Recruitment > Vacancies > Search for your vacancy > Actions > Edit Vacancy 

Under VACANCY DETAILS in the left-side menu, select Vacancy Details – 1. Review and update the following fields at this stage:

Description* Check the Description correctly reflects the job title. Update as necessary.
Default Application Form *

Select from the drop-down the correct application for the vacancy type/grade:

  • Short Application: Grades 1-10 (with CV) - do not select for apprentices
  • Academic Application: Academic vacancies and joint appointments where University is primary employer
  • Apprenticeship Application Form: Select for recruiting apprentices

Opening Date * Enter the date that you complete the vacancy set up, ie Today’s date. 
Opening Time 09:00
Closing Date

Enter date the vacancy expires (ie no longer advertised). This date will be displayed on the advert.

NB Do not close on Bank Holiday, weekend or fixed closure days. Avoid a Thursday.

Closing Time*  12:00
Internal – only complete this section if advertising internally-only
Opening Date

Enter date the advert will be posted in ESS. 

NB This field is for jobs that will be advertised on the Internal Job Board only. If your vacany is external, do not complete this field.

Closing Date

Enter the date the vacancy expires in ESS. 

NB Do not close on Bank Holiday, weekend or fixed closure days. Avoid a Thursday.

External
Opening Date

Enter date that the advert will be posted on the University's Jobs website. 
All jobs posted externally will also appear on the Internal Jobs Board. 

NB Leave this date blank for internal-only vacancies.

The date the vacancy expires on the website. 

NB Leave this date blank for internal-only vacancies.

Closing Time 12:00

 

Click SAVE at the bottom right of the screen. 

The advert will appear on the University Jobs website and/or Internal Job Board on the date entered in the Internal/External Opening Date fields, following vacancy authorisation. 

Externally advertised jobs will appear in email job notifications, for applicants, as soon as the Opening Date is reached, even if the advert has not yet been authorised. To avoid any issues, please ensure that the vacancy is authorised on or before the Opening Date.

Vacancy Type*

This determines which area of the University’s Jobs website this will appear under.

NB It is essential to select the correct Vacancy Type. Eg selecting ‘Research’ for a ‘Professional Services’ vacancy, will result in applicants being unable to find your vacancy. 

  • Academic – A20, A80, 30S, 36S, 39S grades, as well as G7 and G8 Departmental Lecturers 
  • Professional Svcs - Professional & Mgmt – Grades 6 and above
  • Professional Svcs - Support & Technical – Grades 1-5
  • Research - Carrying out research for an academic department (typically grade7+)
Grade  Select the applicable grade from the drop-down list
Salary

The standard, non-discretionary salary range will auto-populate as per the grade picked.

Do not amend, unless advertising with the discretionary range (where the criteria have been met). If applicable, add the following text after the standard salary range: ‘with a discretionary range to £XX,XXX per annum (pro-rata)’

For Academic vacancies only, depending on the amount of details needed either include remuneration package here and/or use the Job Description field (if more space is required).

Contact
Person *

Enter contact details of the person/team responsible for managing this recruitment in PeopleXD.

Do not enter the name of the hiring manager, who cannot assist applicants with all the queries. If needed, the hiring manager’s contact details can be included in the advert text.

Email * Enter an appropriate contact as per the above. This could be a generic email for your HR Recruitment team.
Phone No * Enter the number for applicants to ring if they have a query, eg the HR Recruitment team.
