4. Record nominations

Record all nominations in full, in the HR system, to enable comprehensive reporting and analysis. This must be recorded against the correct appointment, including where the relevant appointment has since ended.

Note:

Create a new UDF record each time an employee receives/makes a nomination under the Reward and Recognition scheme. When creating a new record, you must enter an end date (into the 'To date' field) for any existing UDFs of the same type. This should normally be a date immediately before the effective date of the new record.

 

A nomination under the Reward and Recognition scheme must be recorded against the appointment for which this assessment was made.

Examples include:

  1. Where the nomination was made for a specific piece of work, it should be recorded against the appointment held at the time.
  2. Where the nomination was based on all appointments held during the assessment period, it should be recorded against the longest-held appointment during that assessment period.
  3. Where the split between the appointments is equal (either in length or weight of nomination), choose one appointment against which to record the nomination.
  4. Where someone changed appointments since the assessment period, the nomination should be recorded against the original appointment for which the nomination was made.

In some cases, nominations will need to be recorded against ended appointments.

Navigation path: People Management > Employees > View > Employee Search > (Locate individual) > View
  1. Select User Defined Data from the staff record menu, to open the screen. (Click into the Appointment selection menu to ensure the correct appointment is chosen.)
  2. This shows UFDs at person- and appointment-level.
  3. If there is a long list of existing UDFs, use the Search UDFs field to find the UDF you need.
  4. Check whether an existing UDF for this scenario already exists.
    1. If yes, open and update the existing UDF record with an end-date (click View/Edit) before adding a new one. Enter a date immediately before the effective date of the new UDF record. 
    2. Click SAVE.
  5. Click ADD in top-right corner to open the Add UDF menu.
  6. Click on the drop-down arrow to view the list of the UDF types.

Note: 

The UDF Type list shows whether a UDF is ‘Person’- or ‘Contract’-related. Contract UDFs show the appointment against which they are recorded. Check that this is the correct appointment, before proceeding.

 
  1. Search for Appt:R&R Recognition Scheme.
  2. Complete the fields as follows:

Date of nomination *

Select the date the nomination was made. Only two nominations can be made in a year.

Award made? *

Select as appropriate, Yes/No

(If Yes, the ‘Type of recognition’ field must be updated.)

Type of recognition

Select team or individual as appropriate

(Note: payment is the same for both, but recording the nature of the recognition is needed for central analysis)

Follow steps 1-7 above, under 'Record a nomination for the Recognition Award.
